How to Prepare a Gold Bullion Cargo Manifest

A cargo manifest should tell authorized shipping and customs parties exactly what is being offered for transport. For gold bullion, vague entries such as “three gold bars—high value” are insufficient for responsible planning.

Use one line per bar where practical

Individualized entries help reconcile what is declared with what is collected, stored and released. Where the bars have unique serial numbers, record each number precisely and retain supporting records. Do not invent a serial number or weight to make a form appear complete.

Essential manifest fields

  • Item identifier: an internal line or record number distinct from the manufacturer’s bar serial number.
  • Metal and form: gold bullion bar, not jewelry or currency.
  • Bar count: the exact number of items in the consignment.
  • Individual gross and net weights: specify measurement units and whether packaging is included.
  • Fineness or purity: use tested or otherwise documented figures rather than assumptions.
  • Serial/identifying marks: as actually marked or documented; indicate “not present” where appropriate.
  • Value and currency: per-item documentary value and total, supported by records and clearly dated when relevant.
  • Owner, shipper and consignee: complete and consistent legal details in the confidential shipment records.
  • Packaging and seal details: recorded by authorized handlers where applicable.

Keep units and totals consistent

Gold may be weighed in kilograms, grams or troy ounces. A manifest should specify which unit is being used and accurately calculate totals. Use actual measured weights; do not back-solve a physical weight from a desired declared amount without a reliable valuation basis.

Match related documents

Reconcile the manifest against invoices, proof of ownership, independent assessments and carrier forms. Inconsistent names, values or item counts can delay review. A deed of gift or bill of sale, if applicable, should identify the same items.

Privacy and chain of custody

Do not publish an individual customer’s complete bar serials, precise values, identity records or storage locations on a public webpage. Securely provide the detailed manifest only to parties who legitimately need it.

Final manifest quality check

Have the shipper and the responsible handling party verify item count, descriptions, weights, marks and documentary value before the manifest is relied on for booking or declarations.
